AI & Automation Disclosure

How Kaitier uses automation and artificial intelligence, what data may be processed, and your responsibility to review outputs before relying on them.

Overview

Kaitier LLC ("Kaitier") uses software automation and, in some features, artificial intelligence to help you organize receipts, bank activity, invoices, and related financial records.

These tools are assistive. They do not replace your judgment, your bookkeeping decisions, or advice from a qualified accountant, attorney, payroll provider, or other professional.

AI and automation are different

Not every automated Kaitier feature uses a generative AI model.

Some features use fixed rules, calculations, pattern matching, or workflows — for example, parsing common receipt formats, applying category keyword rules, scoring possible receipt-to-transaction matches, or calculating reports from stored data.

Other features may send information to a third-party AI model to interpret, summarize, suggest, or generate text — for example, when you ask a question in Ask Kaitier, or when Kaitier uses AI as a fallback to read certain bank-statement PDFs.

A single workflow may combine both methods — for example, extracting text locally, then applying rules to populate fields.

How Kaitier may use AI and automation

Depending on the features you use and your plan, Kaitier may use automation and/or AI to help with tasks such as:

Extracting merchant, date, amount, and other fields from uploaded receipts, invoices, and documents — primarily through on-server optical character recognition (OCR) and rule-based parsing; AI is not used for standard receipt image OCR in the current product.

Suggesting merchants, customers, categories, and descriptions using keyword rules, learned merchant patterns, and related heuristics.

Matching receipts, bank transactions, deposits, invoices, and processor activity using scoring and alias logic.

Identifying missing information, possible duplicates, or items that need review.

Summarizing financial activity and producing reports, calculations, and forecasts from your stored records and connected integrations.

Generating responses in Ask Kaitier when that Premium feature is enabled and an AI provider is configured — including product guidance and answers that may reference a snapshot of your books context when your question is about your business finances.

Using AI as a fallback to extract transactions from certain bank-statement PDF uploads when format-specific parsing is unavailable and an AI provider is configured.

Suggesting workflow steps or next actions within the product.

Feature availability may depend on your subscription, connected integrations, and whether optional AI services are configured for your environment.

Accuracy and user review

Automated and AI-assisted results may be inaccurate, incomplete, duplicated, outdated, or incorrectly matched — even when they look plausible.

You should verify important information before relying on it, including merchant and customer names; dates and amounts; categories and tax treatment; transaction and receipt matches; invoice and payment status; and reports, calculations, summaries, and forecasts used for accounting, tax, payroll, legal, or business decisions.

Where the product allows editing, you can correct many automated results — for example by editing receipt fields, categories, matches, and related records in the app.

This review obligation does not reduce Kaitier's responsibility to operate the Service with reasonable security and reliability measures described in our other policies.

No professional advice

Kaitier and Ask Kaitier do not provide legal, tax, accounting, audit, payroll, investment, lending, insurance, or other regulated professional advice.

Outputs are for informational and organizational purposes only. Consult an appropriately qualified professional when you need advice for your situation.

Do not represent AI-generated or automated Kaitier output as having been prepared, reviewed, or approved by an accountant, attorney, or other professional unless that actually occurred outside the product.

Third-party AI service providers

When an AI feature is enabled, Kaitier may use approved third-party technology providers to process limited information needed to provide that feature. As of this disclosure, OpenAI is the third-party generative AI provider used by Kaitier for Ask Kaitier and for optional bank-statement PDF parsing assistance.

Provider names, purposes, and regions may change. Current subprocessors are listed on our Subprocessor List. Related policies include our Privacy Policy, Data Retention & Deletion Policy, and Legal & security page.

Data use, retention, and model training

Ask Kaitier (when used): Kaitier may send your question, a short recent chat history, product-help context, and a snapshot of relevant financial/books context to the configured AI provider so the model can respond. You initiate each Ask Kaitier request.

Bank-statement PDF assist (when used): Kaitier may send up to approximately 14,000 characters of text extracted from an uploaded statement PDF to the configured AI provider to suggest transaction rows. This path is a fallback when format-specific parsing is not available.

Standard receipt and invoice processing: uploaded images and PDFs are processed on Kaitier's systems using OCR and rule-based parsing; that routine path does not send receipt content to OpenAI.

Kaitier does not use customer content to train Kaitier's own machine-learning models. Kaitier is a bookkeeping application, not a model-training platform.

Third-party AI providers may retain API inputs and outputs for a limited period under their own terms and account settings. Kaitier's application code does not independently enforce a zero-retention or training opt-out configuration for OpenAI. Before public beta, Kaitier intends to align provider account settings with its privacy commitments and document the result in the Subprocessor List and Privacy Policy. Until that verification is complete, you should not assume that AI inputs are never retained or never used by a provider for service improvement permitted under the provider's terms.

Sensitive information

Do not enter unnecessary sensitive information into open-ended AI text fields — including passwords, authentication codes, full payment-card numbers, or Social Security numbers — unless a specific feature clearly requires it.

This guidance does not mean you cannot upload ordinary business receipts, invoices, bank activity, or tax-related records that Kaitier is designed to organize.

No final high-impact automated decisions

Kaitier does not use AI to make final decisions about a person's eligibility for credit, lending, employment, housing, insurance, or other legally significant services.

If Kaitier ever introduces functionality that could have similar legal significance, that functionality would require separate product and legal review before launch.

Corrections, feedback, and reporting problems

Correct editable results in the product where supported — for example receipt details, categories, and matches.

Signed-in users can report product issues, including incorrect automation, through the in-app feedback form at /feedback.

Changes to AI features

Kaitier's automation and AI capabilities, models, and providers may change over time.

Material changes to how we use data or your rights should be reflected through an updated version and effective date of this disclosure and any notice required by our Terms of Service or Privacy Policy.
